Alumni Relations Officer (COM2C)
Position Summary:
Reporting to the Associate Director, Affinity and Engagement Services, the Alumni Officer, Travel and Engagement Services, is responsible for the management and development of the McGill Alumni Travel Program and the development and implementation of engagement service programs in support of fundraising objectives, with particular emphasis on the student, parent and young alumni cohorts.
Primary Responsibilities:
- Develops long-term and annual plans regarding the McGill Alumni Travel Program. Plans, implements and monitors over 30 high-end expeditions annually to locations around the world, aimed at attracting a key segment of the University’s alumni and friend population.
- Negotiates with specialized North American-based alumni travel tour operators to research and identify the most appropriate travel programs.
- Identifies, researches and cultivates prospective alumni and friends for the travel program and develops targeted marketing strategies to encourage participation therein.
- Identifies, recruits, trains and orients members of the Faculty or other University-based subject-matter experts to accompany travellers on select travel destinations as a value-added experience. Recruits and trains travel program hosts from among University Advancement senior staff or McGill Alumni Association volunteers.
- Assesses and resolves traveller problems that arise from the McGill Alumni Travel Program, forming recommendations and involving the supervisor as deemed necessary.
- Develops communications plans, materials, correspondence and programs to promote the McGill Alumni Travel Program through University Advancement print and electronic publications; negotiates the costs and production schedules with internal and external suppliers.
- Tracks and reports on the McGill Alumni Travel Program outcomes, makes and implements recommendations for improvements.
- Represents McGill at and/or hosts alumni travel meetings held by select major Canadian universities that run alumni travel programs; keeps abreast of new developments and trends in the field of alumni travel.
- Participates in overall strategies regarding the delivery of engagement services to University Advancement and Faculty-based colleagues that target student, parent and young alumni cohorts.
- Provides a liaison function between Alumni Relations and other University Advancement, Faculty-based and external entities for the delivery of engagement services to student, parent and young alumni cohorts, such as venues, suppliers and caterers.
- Ensures that recognition, acknowledgement and stewardship programs are in place. Oversees the development of communication plans and programs.
- Applies the Net Promoter Score to engagement events, tracks and reports on outcomes, and makes recommendations for improvements.
- Participates in the development and implementation of initiatives that support University Advancement’s strategic direction by keeping abreast of new developments and trends in the field of engagement opportunities.
- Identifies, recruits, trains, orients and coordinates volunteers to assist in engagement service initiatives.
Minimum Education & Experience:
Undergraduate degree
Three (3) years' related experience
Other Qualifying Skills And/Or Abilities:
Proven track record in the management of an alumni travel program in an educational setting and in the development and implementation of alumni relations programs. Must be results-driven, a self-starter, and highly motivated with a leadership and interpersonal style that fosters constructive and productive relationships with diverse constituencies. Experience in program development, marketing and project management. Experience in volunteer management. Excellent verbal and written communication skills. Must be client focused, with excellent organizational, negotiation, listening, problem solving, planning, and priority setting skills. Ability to analyze and read data, determining and acting on trends. Demonstrated ability to work in a dynamic, fast paced environment and manage multiple projects within tightly prescribed timetables and shifting priorities. Demonstrated ability in a PC environment, proficient using MS Office (Excel, Word, Power Point) and client-server database software and sound knowledge of social media tools. Superior English spoken and written; French spoken and written. Travel may be required.
